Executive Assistant

The National Association of Mutual Insurance Companies (NAMIC) is looking for an executive assistant at our headquarters on the northwest side of Indianapolis to provide administrative assistance to the Senior Vice President of Member Development. This role is a strategic partnership requiring an ability to interact with staff at all levels, while remaining flexible, proactive, resourceful, efficient and demonstrating a high level of professionalism and confidentiality.

Essential functions of the position include, but are not limited to:

  • Coordination of administrative matters for SVP Member Development:
    • Conserve executive’s time by composing correspondence; monitoring incoming and outgoing mail; screening and relaying telephone calls.
    • Administers the calendar and department schedule.
    • Coordinates all travel arrangements and itineraries.
    • Coordinates and monitors department budget and assists with mid-year projections.
  • Assists SVP Member Development with NAMIC Conference Board, Committee and other governance responsibilities:
    • Coordinates all arrangements for Conference Board of Directors meetings
    • Distributes board and committee material
    • Maintains minutes
    • Maintains Directors Guide and board website content.
  • Performing other duties and projects as assigned.

Knowledge, skills, and abilities of this position include, but are not limited to:

  • Above average communication and interpersonal skills are required.
  • Strong writing skills including an excellent grasp of grammar.
  • Proactive self-starter with strong problem-solving abilities.
  • Able to successfully manage multiple projects simultaneously.
  • Ability to maintain a professional image, arrive to work on time and maintain a positive attendance record.

Qualifications of this job include, but are not limited to:

  • At least 4 years of successful administrative or customer service related experience required.
  • Experience with Microsoft Office products including prior use of Outlook for scheduling, PowerPoint, Word, and Excel.
  • College degree preferred.
  • Ability to successfully pass a criminal background and MVR check.
  • Occasional overtime and weekend work may be required.
  • Must be able to travel for business by car and/or plane occasionally.

This position comes with an excellent compensation and benefits package. The salary range is $50,000 to $55,000 based on relevance of experience. Communications Coordinator

The National Association of Mutual Insurance Companies (NAMIC) is looking for a communications coordinator at our headquarters on the northwest side of Indianapolis. This position is responsible for research and support in the development of trade/national media and social media opportunities for the association; copywriting, proofing, and editing of communications materials.

Essential functions include:

  • Research media opportunities (publications/reporters) to identify targets for media outreach.
  • Draft press releases, media advisories, pitch letters, op-eds, web content and other relevant material.
  • Assist in the development of content for social media distribution, including Twitter, Facebook, and LinkedIn.
  • Edit, proofread, and fact check copy.
  • Conduct daily research, monitoring, and compilation of news and information on insurance, advocacy, association and other relevant issues for use in public affairs efforts.
  • Performs other public affairs duties as assigned by the Sr. Director — Communications or the VP-PA in support of the mission, strategic focus, and/or business plan of public affairs.

These are some of the skills this individual will need to do this job well:

  • Experience with media relations at the local, regional, trade and national levels.
  • Strong writing, editing, proofreading, and research skills.
  • Ability to communicate effectively in oral and written form.
  • Ability to prioritize projects while juggling multiple projects simultaneously.
  • Proven ability to work on tight deadlines with fast turnaround of assignments as needed.
  • Ability to operate effectively within fast-paced and at times stressful work environment.

Here are the background qualifications:

  • Bachelor’s degree in communications, journalism, public relations, or related discipline.
  • Working knowledge of AP Style.
  • Knowledge of and experience with communicating via social media platforms, including Twitter, Facebook, LinkedIn, and Instagram.
  • Minimum of 1-3 years of experience in a professional work setting.
  • Ability to successfully pass a background check.
