Exhibit Show Information
NAMIC's annual convention attracts more than 1,000 property/casualty insurance industry executives from more than 350 different companies. Although attendees come from all size regional and national insurance and reinsurance companies across the United States, Canada, and other International locations, the majority are US-based with Ohio, Illinois, New York, Iowa, and Indiana as the top five attendee States.
Of the 2011 annual convention delegate companies reporting DWP:
- More than 51 percent of delegate companies write between 10 and 250 million in DWP
- More than 43 percent of delegate companies write between 25 and 500 million in DWP
- More than 27 percent of delegate companies write more than 100 million in DWP
- 43 percent of delegates are from Farm Mutual Insurance Companies
- 36 percent of delegates are from Multi-Line Insurance Companies
- 63 percent of delegates are company managers, chief executives, or department heads
- 36 percent of delegates are from Multi-Line Insurance Companies
- The NAMIC 2011 Annual Convention either met or exceeded the expectations of 99 percent of responding attendees.
- Nearly 75 percent of respondents rated the NAMIC annual convention exhibit show as important or very important.
The Exhibit Show is designed to promote efficient traffic flow, business with current and potential clients, and equality among exhibitors. NAMIC’s convention schedule features exclusive show floor hours and exciting exhibit show activities that engage the attendees and help exhibitors achieve maximum exposure.

Exhibit Show Schedule
The exhibit show is held on the first two days of NAMIC’s convention and allows exhibitors to attend all show functions with only a two-night hotel expense, depending on flight availability.
Exhibitor setup:
- Sunday, Sept. 16 | 12 - 6 p.m.
Show days:
- Monday, Sept. 17 | 8 - 9:30 a.m., 11 a.m. - 1 p.m., 4 - 5:30 p.m.
- Tuesday, Sept. 18 | 8 a.m. - 1 p.m., 2 - 4 p.m.
Dismantle:
- Tuesday, Sept. 18 | 4 - 6 p.m.
Exhibit Show Booths and Fees
All booths are 10’x10’ and booths can be combined to 10’x20’.
Booths include:
- Two attendee registrations and additional staff registrations can be added for $425
- Carpet is provided in the selected event color
- Standard pipe & drape between booths
- One draped table
- Two chairs
- Wastebasket
- Booth number identification
NAMIC offers two types of booth spaces - standard and premium. Standard spaces are on the interior of aisles and have other booths on both sides. Premium spaces are located in higher traffic areas and are either on the end of an aisle or bordering one of the lounges.
- Non-member standard booth = $2,250
- Non-member premium booth = $2,500
- Member standard booth = $1,750
- Member premium booth = $2,000
Exhibitor Benefits
Participation in the exhibit show provides unparalleled access to more than 1,000 insurance professionals. Additionally, exhibitors benefit from:
- Delegate registration list with name, title, company, and mailing address information sent 30 days prior and following the close of the Annual Convention.

- Complimentary listing in NAMIC’s exhibitor directory, a high-quality printed directory that is distributed throughout the convention. Additional advertisement opportunities are very affordable.
- Exhibitors are welcome to reserve hotel sleeping rooms at the negotiated convention rates (Please note that availability may be limited).
- Opportunity for discounted advertising in the September edition of IN magazine, NAMIC’s flagship publication.
Booth Furnishings/Freeman Services
Freeman, the official show decorator, will supply all decoration and booth furnishings through the Freeman website.
Your booth rental includes:
- 2 convention registrations (closing banquet ticket not included)
- 10' x 10' booth space with 8' back drape
- 3' side drape and choice of 6’ or 8' draped table
- Two chairs and one wastebasket
- Complimentary listing in the exhibitor directory which is distributed to each delegate and available at the exhibit show
- Booth space and exhibit area are carpeted
Any electrical, A/V, telephone, Internet access, or material handling needs will be handled directly through Freeman and the Gaylord Texan Hotel. Order forms for these services can be accessed here. Freeman and the Gaylord Texan Hotel will have representatives on site to help with booth service needs.
Please note that the following deadlines and regulations apply for exhibitor services:
- Shipments to the Freeman warehouse must be received by September 11, 2012
- Shipments to the show site C/O Freeman must be received no earlier than September 16, 2012 (NAMIC does not recommend shipping directly to the hotel and is unable to assist with any issues resulting from shipping directly to the hotel)
- There are union jurisdictions for the Dallas/ Ft. Area. Please see the information within the exhibitor kit (page 44) for complete details.
- The discount date for exhibit services through Freeman is August 17-24, 2012. Please refer to individual forms for the date for particular services.
Exhibit Show Activities
Numerous activities are scheduled throughout the exhibit show to increase delegate traffic and exhibitor visibility.
Coffee is served in the hall during all exhibit show hours and dessert is offered in the exhibit hall after the luncheons on both Monday and Tuesday.
On Monday afternoon, the exhibit hall is the site of a delegate reception featuring a must-be-present-to-win grand prize drawing that traditionally attracts more than 600 attendees. This reception and drawing is reserved for the NAMIC prize drawings.
The Tuesday afternoon ice cream and soft drink break is held in the hall and will be the time for exhibitor raffle drawings. A riser and microphone are provided. NAMIC will conduct the raffle and announce prize winners.
Delegates are invited to participate in the Treasure Chest Game during all exhibit show hours. Delegates may get keys from exhibitors and a chance to open one of the chests and win an exciting prize.
Exhibitor Sponsorships
NAMIC welcomes sponsorship participation and offers a variety of opportunities for exhibitor sponsorship options. Sponsorships are offered with first-refusal rights to any returning sponsor. Please contact NAMIC at sponsorships@namic.org discuss available options. Sponsors receive the delegate registration list including telephone numbers and e-mail addresses.

Exhibitor Advertising Options
Exhibitor Directory
The Exhibitor Directory will list all registered exhibit companies* along with the company contact information, a company description, and listing of categories of service.
Exhibitors have the opportunity to enhance their company recognition by placing a paid ad and/or company logo in the directory. The directory will be 8 ½” x 11”, magazine-style, and ads will be full-page, four-color. Exhibitor logos will be displayed along with the corresponding company listing and will appear in four-color.
A link to ad artwork specifications will be sent via e-mail with purchase confirmation. You may also view artwork specifications here after January 1, 2012.

Deadline to purchase exhibitor directory ad or logo placement is Monday, Aug. 6, 2012. All logo or ad artwork must be submitted by Monday, Aug. 6, 2012.
Jumbo-Tron
The Gaylord Texan, the NAMIC convention host hotel, features an impressive Jumbo-Tron in the hotel atrium. Sponsors and exhibitors may purchase ad space within the rolling slide show.
Ads will display for approximately 10 seconds every 10 minutes. Advertisers will need to submit one, static, PowerPoint slide per ad space purchased. Advertisers will be given specs approximately eight weeks prior to the convention and will need to supply materials approximately four weeks prior to the convention. NAMIC cannot guarantee that multiple ads will run concurrently and reserves the right to remove this opportunity should certain requirements not be met.

Hotel Reservations
NAMIC is pleased to extend the negotiated hotel sleeping room rate to all registered exhibitors. A completed exhibitor booth registration is required to receive the NAMIC discounted room rate. Exhibitors will receive the reservation web-link in a confirmation e-mail after completing the online booth registration form.
